Initial Configuration

treeMailS Configuration Database

The parameters for treeMailS are set within the treeMailS Configuration database. The following actions are available:

  • Definition of master data

  • Administration of signature layouts

  • Administration of company profiles

  • Administration of personal profiles

  • Administration of the language configuration

  • Administration of the treeMailS server configuration

To configure and activate treeMailS/MFT, you have to define a

  • signature layout (is created automatically during installation – can be customized)

  • company profile (is created automatically during installation – can be customized)

The signature layout is then assigned to a company profile, and the company profile is assigned to the personal profiles which are created during the installation process.

Open the treeMailS Configuration database:

General treeMailS Settings

During the installation, most parameters are set automatically. The templates are located in
Master Data | template for personal profile.

Signature Layouts

Signature layouts define the contents and the formatting of a signature. This can be done intuitively using a rich text editor. In addition, the MFT notification is also maintained here.

The following sample signature layout for MFT is created automatically during installation:

You can customize the text to your requirements.

Company Profiles

Select “Companies by … names” and add a company profile by selecting “PROCESSES – Add company profile”.

Define a new company (e.g. treeConsult MFT).

If you are only using treeMailS/MFT, you only have to fill in the fields highlighted in blue.

For the parameter “Signature Layout”, select “Signature Layout 4”. This signature layout contains the default layout of the MFT links for the receiver of a MFT/Thru email. The contents and format of the signature layout can be edited in the “Master data”.

If you need to use different signature languages (e.g. for subsidiaries in other countries), you can copy the contents of signature 4 to another signature (do NOT use signatures 1 thru 3 – you need to use a Rich Text signature, i.e. signature 4 or higher), modify this and assign it to a different company – and then assign personal profiles to this company. This is especially useful if you have e.g. subsidiaries in different countries that want to use an MFT-specific signature in their local language.

If you do not use the treeMailS signature management features, ignore all other tabs.

Click the Save & Close button.

Personal Profiles

Personal profiles are created and maintained automatically via comparison with the Lotus Domino address book. Personal profiles contain all user-specific settings (personal data, signature variations, templates, MFT user-specific settings, etc.).

Activation of treeMailS/MFT for a User

  1. Go to “Personal profiles” and open the personal profile to be activated.

  2. On the “Activation” tab, set the following parameters to “Yes”:

    1. “Activate treeMailS”

    2. “User works with the treeMailS Client”

    3. “Send treeMailS client installation message”

The default settings on this tab are pre-defined and can be modified in the personal profile template installed during the installation in the Master Data | template for personal profiles.

3. Assign the previously defined company profile to the user under “Sig 1”.

4. By assigning the company previously defined to the personal profile, the signature layout defined for the company is also automatically assigned to the personal profile.

5. Go back to the “General” tab.

6. On the “MFT (user-specific)” tab you can define when and how the treeMailS/MFT dialog will be displayed for the user.

The default settings on this tab are pre-defined and can be modified in the personal profile template installed during the installation in the Master Data | template for personal profiles.

7. Leave the default settings on the “treeMailS Client configuration” tab as is.

8. Click the Save & Close button. The personal profile is saved, and the user is notified automatically via email.

Language Confirmation

Using this feature you can adapt the treeMailS user interface to other local languages. This should only be done by experienced users. Please leave the default settings as is.

treeMailS Server Configuration

treeMailS is installed so it can be operated immediately. However, after the installation, the parameter ”Activate treeMailS Client Installation” is set to “No” to make sure that no client updates or corresponding emails are sent out prematurely. After the installation, this parameter has to be set to “Yes” manually.

Click the Save & Close button.

Master Data

General tab – Please leave the default settings as is.

Template for personal profiles – This template can be used to speed up and control further rollouts (e.g. pre-set the parameters on the “MFT (user specific)” tab).

Rights and restrictions – Please leave the default settings as is.

Signature layouts – Please leave the default settings as is. Signature 4 is pre-set with the MFT-specific signature (see above). To speed up and control further rollouts you can modify this signature centrally. Apart from that, you can copy the contents of signature 4 to another signature (do NOT use signatures 1 thru 3 – you have to use a Rich Text signature, i.e. signature 4 or higher), modify this and assign it to a different company – and then assign personal profiles to this company. This is especially useful if you have e.g. subsidiaries in different countries that want to use an MFT-specific signature in their local language.

MFT General – Within this list you can set the general rules for MFT transfers (valid for all active MFT users). The parameters are sorted by their priority. The parameters for priority (1) and (2) enable the sending of large data volumes via the Lotus Notes Mail system without blocking the Lotus Notes Client. You can usually enter multiple values into the entry fields (separator “new line”); for the domain specifications you can use the wildcards “*” (any character) and “?” (exactly one character).

The last but one and the last line determine the contents of the dialog box that will be displayed to the sender when sending an MFT email. Please mark all checkboxes and select OK.

MFT Bridge Configuration

Click the MFT Bridge Configuration button and enter the required parameters for the treeMailS Thru Add-In for IBM Lotus Domino. Usually, you will only have to enter the values for the parameters “Thru SSO secret” (password) and “Application-ID of this application in Thru Server”.

Activation of Settings

Generally, administration processes are executed automatically in certain poll cycles. If you click the “Perform data synchronization immediately”, all the changes you made to the master data, personal profiles, and company profiles are activated immediately.
